CRM Internal User Agreement & Acceptable Use

Version CRM-AUA-v1.0 · Effective 09 Aug 2026. This agreement sets the minimum conditions for authorised use of the Seylease Sales CRM.

1. Authorised business use only

The CRM is provided for authorised Seylease business purposes. Users must access and use it only within the responsibilities of their assigned role and must not attempt to bypass access restrictions or use another person's account.

2. Individual credentials and device security

  • Credentials must not be shared or reused by another person.
  • Users must take reasonable steps to secure the device and browser used to access the CRM.
  • Users should sign out when access is no longer required, particularly on shared or unattended devices.
  • Suspected compromise of credentials or unauthorised access must be reported promptly through Seylease's internal escalation process.

3. Confidentiality and appropriate records

Customer, prospect, business-contact, management and company information accessed through the CRM is confidential unless Seylease has authorised its disclosure. CRM notes must remain factual, relevant and professional.

Users must not use the CRM to store unnecessary sensitive personal data or upload detailed KYC, AML, identity, banking, salary or credit-supporting documents unless Seylease has expressly approved that use and the required controls are in place.

4. Exports, downloads and reference documents

Information exported from the CRM and documents opened or downloaded from Sales Reference remain subject to Seylease confidentiality, privacy, records-management and security requirements. Users must not forward or retain copies for unauthorised purposes.

5. Role-based controls and management authority

Access is role-based. Certain actions are reserved to the CEO or other authorised management roles, including final opportunity outcomes, user administration and management of approved reference content. Users must not attempt to circumvent these controls.

6. Monitoring, audit and regulatory control

CRM actions and security-relevant events may be recorded for operational oversight, audit, information security, compliance and regulatory-control purposes. Users should have no expectation that business actions performed within the CRM are anonymous.

7. Incidents and inaccurate information

Users must promptly report suspected data loss, inappropriate disclosure, unauthorised access, material errors in personal information or other security/compliance concerns through the appropriate Seylease internal channel.

8. Access suspension or removal

CRM access may be changed, suspended or removed when a user's role changes, access is no longer required, an account becomes inactive, or Seylease determines that access should be restricted for security, compliance or operational reasons.

9. Relationship to other obligations

This agreement complements, and does not replace, employment obligations, NDAs, confidentiality agreements, information-security requirements, approved Seylease policies, applicable Seychelles law or regulatory requirements.

10. Versioned acknowledgement

Users must acknowledge the current agreement version before entering the CRM. If Seylease makes a material change, a new version may require acknowledgement on the next login. Acceptance is recorded with the user account, agreement version and acceptance time for audit purposes.
